111. Building Sustainable Team Workflows

Team workflows are about building rhythms for managing your church’s Bible App presence. Focus on consistency, delegating tasks, a sustainable workflow, and maintaining quality across your work.
How Churches Use This
Start by assigning a primary owner for your Church Page and create a simple weekly checklist to publish Posts, Events, and Featured Plans. As you distribute responsibilities across your team and trusted volunteers, document each person’s role and create a shared content calendar. For new staff, create an onboarding document explaining how to utilize your Church Page and their role in making it an excellent experience.
Once you have established a good rhythm for series planning and execution, create a quarterly planning process that aligns your Bible App content with your sermon calendar. Start a monthly review where you look at YouVersion Connect data, assess, and adjust your team workflows.
Here are a few specific use cases:
- Small church (1-2 staff). The lead pastor selects the Featured Plan for each series. A trusted volunteer writes and publishes Posts on Monday and Thursday. Events are updated monthly by office admin. The pastor reviews the Church Page once a month.
- Medium church (5-15 staff). The communications director owns Church Page strategy. They batch Posts weekly, coordinate with the teaching pastor on Plan selection, and manage Events. A content calendar is shared with the whole staff so everyone knows what’s happening.
- Large/multi-site church (15+ staff). A digital ministry lead runs the central strategy. Each campus has a designated Church Page admin who manages Events and can add campus-specific Posts. A quarterly planning meeting aligns Bible App content with the church’s annual calendar. A monthly data review looks at engagement across campuses.
Operational Guidance
- Who owns this? Whoever manages your church’s communication strategy—this should be documented, not assumed.
- Frequency: Weekly execution, monthly review, quarterly planning.
- Preparation needed: Written roles and responsibilities, shared content calendar, and documented approval workflow.
Best Practices
- Document everything. Roles, passwords, calendars, workflows—put them somewhere your whole team can access.
- Use what you already use. Don’t create a whole new process for Church Page management. Add it to your existing team rhythms and workflows.
- Build in backups. At least two people should know how to publish Posts, feature a Plan, and manage Events.
